The goal

Every two years, this company brings together their global leaders for education, networking opportunities, and to celebrate their achievements, all while providing them with the same hospitality they provide to their own clients each and every day.

The challenges

  • Delivering a quintessential, destination experience through food and beverage, entertainment and event décor.
  • Crafting multiple events across brands and various formats, including seven individual brand general sessions, seven galas, four after parties, a joint general session and a joint party for all 4,000+ attendees.
  • Delivering on multiple brand specific expectations, while maintaining equal caliber and overall consistency.
  • A robust program scope which included complete event design, executive and VIP transportation, off-site catering menu development, executive dinners and leadership receptions, entertainment and comprehensive event staffing.

Strategies & solutions

Immerse them in Chicago culture

We custom-crafted an innovative design inviting attendees to stroll, see, and savor Chicago’s neighborhoods and culture. We focused on Chicago’s icons, such as the silver living statues seen on Michigan Avenue and our famed Chicago percussionists. We also recreated the ambiance of some of the city’s neighborhoods, like Little Italy and Fulton Market with checkered table clothes, Chianti wine bottles, street lamps and city benches. Meanwhile, guests feasted on diverse neighborhood favorites including Chinatown’s dim sum, Pilsen’s empanadas, and Little Italy’s mouthwatering cannoli.

Entertain while engaging emotions

Our non-traditional entertainment included incredible organizations serving inner-city youth. Groups like a youth acrobatic troupe and a youth choir delivered on the client’s desire to tell a story that was iconic and authentic to our destination. During the morning general session, the choir’s talented voices made hearts soar when they delivered a moving performance that had everyone on their feet, without a dry eye in the house.

Deliver seamless, yet spectacular, design

We were tasked with creating a remarkable design concept for the seven awards dinners, that had to be recreated night after night. However, they had to be tailored to accommodate different attendance sizes based on the various brands. We opted for a trio of gold textured linens, with alternating tabletop décor of gilded lanterns and seasonal blooms to keep things simple, yet stunning.

Partner with client’s production team

We aligned with the client’s production team to ensure cohesiveness across all the planning stages. With our client’s goals in mind, we ensured that riders, production schedules, load-ins and -outs, and all other production tasks were in line with union labor needs at all the program’s multiple venues.

Be can-do confidantes

Hosts Chicago served as event concierges to deliver on last minute requests for…hair and make-up artists, massage therapists, and even a last-minute request for a singer / songwriter.


This epic undertaking was an epic success. Through every event and every moment, our client was able to deliver a standout experience to their global leaders. Every guest that came through the doors felt celebrated, had abundant opportunities to collaborate and come together, and left feeling the true heart of Chicago.
